AI Agents & Workflows
Sales Agent for Webinar Host
Webinar lead outreach voice agent (Amelia).
A voice AI agent for a business coaching company that runs webinars. It follows up on registrations within the critical 72-hour window, confirming access, handling objections, and routing high-intent callers to a Growth Consult.
Why it matters
A webinar registration is a warm lead with a short shelf life. The first 72 hours decide whether someone shows up or forgets they signed up at all. Calling hundreds of registrants by hand in that window is not something a coaching team can staff, so most of the intent is lost before the event.
Amelia calls each registrant up to six times over three days, confirms access, handles the usual objections, and routes high-intent callers to a Growth Consult. Missed calls get a voicemail and a follow-up text. Complaints and pricing questions escalate to a person. The window gets worked in full, at a scale a team cannot match.
The problem
Webinar registrants were left uncontacted or followed up manually, leading to low show-up rates and missed engagement. The team had no scalable way to reach hundreds of registrants inside the first 72 hours.
How it works
The agent (Amelia) triggers on new webinar registrations.
It calls each registrant up to 6 times over the first 3 days (08:00 to 20:00, Mon to Sat).
It confirms the Zoom link and workbook access, handles objections and FAQs, and offers a Growth Consult to high-intent callers.
On no answer it leaves a voicemail and triggers a post-call SMS.
Escalations (complaints, pricing, direct requests for the host) route to the right team member via email and AIOS notification.
Growth Consult requests are logged and passed to the events lead.
